Community Association Services

Office Administration

  • Provide telephone and 24-hour emergency service
  • Provide routine secretarial support
  • Maintain property and financial records at Tampa Bay Property Management office for review as per Florida Statues
  • Assist owners in explanation of maintenance fees and billings

Accounting and Bookkeeping

  • Monthly financial statements on a full accrual basis
  • Complete General Ledger, Accounts Receivable and Accounts Payable Service
  • Provide billing and collection of assessments, preferably utilizing a coupon system
  • Prepare late letters, turn delinquent accounts over to attorney, and file liens when directed
  • Disperse funds by check to relieve obligations generated by or loaned to the property
  • Provide delinquency lists as requested by the Board
  • Establish a money market/savings account to earn higher interest on deposits
  • Develop a yearly budget for Board’s approval

Management

  • Off-site Manager
  • Enforce conformance with Rule and Regulations, and document compliance
  • Handle miscellaneous problems and complaints
  • Monitor maintenance operation and subcontractors
  • Attend specified meetings
  • Assist in the preparation of contract specifications and solicit bids as requested by the Board
  • Coordinate property owner requests with the county and other governmental groups and agencies
  • Assist in developing short and long term (5 Year) property owners goals and objectives and financial plan.
