Solutions for Property Management

During the first month of Property Management, all takeover information is review – nothing is assumed to be correct until it is confirmed. We promise to takeover report within the first thirty days. This report will include the following:

Introduction

Cover letter summarizing findings and the initial management plan.

Property

  • Include our detailed "Property Inspection" report
  • Note any problems and condition of vacant units
  • Identify and list repairs, deferred maintenance, and capital items that are necessary
  • Establish a time frame for each repair with approximate cost
  • Include photos of problems as support decumentation
  • Provide a review of the vendors providing services with changes needed or completed
  • Note any safety hazards and correction plan
  • Enclose copies of the "Maintenance Checklists" for the property

Financial

  • List any general accounts that do not reconcile correctly
  • Prepare a "Leasing Assumptions" report noting the renewal rates, commissions   and tenane improvements for new and existing tenants
  • Prepare a list of the anticipated "Capital Expenditures and Repairs" with time frame and estimated cost
  • Prepare a detailed summary of the lease, listing all tenants
  • Summarize expectations and collection plan if there are delinquencies
  • Prepare a preliminary budget
  • Prepare a list by account number that identifies the source of the numbers and any adjustment assumptions that are being made

Tenant

  • Review collections policies and identify any problem tenants
  • List of all descrpancies between the provided rent rolls and leases
  • Review of last Pass Thru expenses that need to be adjusted or that are not being charged correctly
  • Verification that all additional rents in excess of expense stops have been charged
  • Enclose the tenant questionnaires and our responses
